Client

Due to an NDA,we cannot disclose the client’s name or identifying details.The client is one of the largest sugar producers in the world,with annual production of approximately 4.8 million tonnes and factories across multiple European countries.

The Challenge

The client operates as a large,multinational sugar production corporation,processing vast volumes of documents and data daily using SAP.

They began their SAP automation journey with another RPA vendor but were not fully satisfied with the results and sought an alternative partner.SAP provided multiple automation opportunities using UiPath,primarily through UI automation and scripting,allowing rapid delivery despite operating across multiple language versions.

Selected Solutions

The collaboration started with automating critical processes in controlling and finance,then expanded into client service,sales,and logistics.Initially,attended bots were deployed to help employees build trust and familiarity with automation,with a gradual transition toward unattended automation.

Automated self-invoicing in SAP:A bot enabling vendors to generate SAP invoices during purchases and send them to a dedicated mailbox,handling around 700 cases annually and saving approximately 175 hours per year.

EUR-pallet management automation:An SAP bot supporting pallet tracking and settlement by scanning order documentation and updating SAP records.The process was accelerated tenfold,handling about 200 orders per month and saving roughly 40 hours monthly.

Sales-support automation:A bot scanning SAP for blocked client orders and missed payments,several times daily,and notifying sales representatives.This saved approximately 3,640 hours annually,processing around 210 documents weekly with a fifteenfold speed increase.

Stock index web scraping:A scraping bot monitoring commodity prices from stock index websites in real time,delivering results comparable to APIs at lower cost and saving about 20 hours per month.

Quality assurance automation:A bot collecting laboratory reports,extracting and validating data,and migrating it into SAP fully automatically.This reduced handling time from fifteen minutes to seconds per report while supporting more than fifty reports monthly.

The Outcome

This collaboration became one of Flobotics’ longest and most successful partnerships.Initial automation backlogs were cleared,and ongoing process discovery workshops identified new SAP bottlenecks.

The client’s Center of Excellence was optimized by gradually shifting from attended to unattended bots,allowing teams to fully leverage RPA across SAP-driven workflows.
