DART Chart Systems is a software company that provides reimbursement technology, primarily for skilled nursing facilities.

The company works with post-acute long-term care facilities, insurers, and government agencies to provide payment integrity and managed care compliance software solutions.

The Challenge

The company’s day-to-day operations involved a lot of repetitive, manual labor done by human workers, such as pulling out data from medical documentation or running reports.

These routine tasks were forcing DART employees to do hours of additional work. In consequence, they worked overtime almost every day.

The company understood that they were wasting a lot of time (and money) and that this situation was damaging for their employees.

DART Chart Systems needed a solution that would:

  • increase speed and productivity (by removing repetitive effort and reducing the overall processing time for basic jobs)
  • improve processes (by applying automation, an organization can streamline their workflows, eliminate errors and disruptions, and complete projects fast)
  • reduce operating costs (DART understood that deployed with a minimal upfront investment, low-maintenance automation bots can bring an immediate increase in ROI).

DART management summed up all the requirements and came to us with the task of automating their processes with RPA.

Automate processes in healthcare

The Solution

After analyzing the processes being in place, we decided to go with UiPath technology.

We have proposed various solutions, each of them focused on a different process on the Client’s side.

Example?

DART was going to bring a developer in to write code for pulling historical reports of clinical data. On the other hand, a human employee would’ve spent roughly 24–36 hours manually downloading over 500 reports.

We’ve developed a simple RPA bot that has performed the task for 1/3 of the cost and had the entire project turned around in less than 24 hours.

At every step of the way, we had to take into consideration the sensitivity of the data, as most of the information was the medical records of patients. Data security was our top priority while proposing solutions.

We have also put several checks and balances into place to minimize the risk of errors – we know from our experience that even a slight change on the website changes may lead to the failure of the robots.

Finally, we have taken some time to transfer the knowledge to the Client’s internal IT team. We made sure that they know how to integrate our solutions with their systems.

The Outcome

We have identified six processes perfect for automation and created custom-made RPA bots for each one of them.

We met all the requirements set by the Client, delivering automated solutions that freed DART employees from the need of performing repetitive, manual tasks and as result decreased the amount of overtime dramatically.

Finally, we have created a secure automation system, where sensitive data is safe and protected. Automate the processes with experienced technical RPA-experts, so every RPA project meets success.
