About the Client:
Insure Help Agency (IHA) is committed to providing U.S. citizens with affordable, high-quality health insurance. IHA assists its customers by simplifying the process of comparing insurance plans, ensuring they can find the right balance between coverage and cost.
The Challenge:
Insure Help Agency approached us with a straightforward but critical issue. Their existing insurance processes required staff to enter the same data across multiple systems, such as Health Sherpa (one of the largest ACA quoting and enrollment platforms for agents and agencies). This resulted in repetitive, manual tasks, as employees had to move data between systems multiple times.
While IHA initially tried automating some processes internally using tools like Zapier, it became clear that they needed a more comprehensive automation solution to eliminate the inefficiencies in their workflows.
Solution:
Following an initial consultation, we developed an automation roadmap tailored to IHA’s specific needs. Our technology of choice was UiPath, a versatile platform with an array of pre-built applications, allowing us to quickly address all the challenges IHA faced.
Throughout the project, we deployed several key automations:
Process 1: Automated Patient Data Entry
IHA's most significant challenge was manually transferring patient data across multiple systems. To streamline this, we created a custom front-end form using UiPath Apps. This form incorporated a set of rules and logical workflows, enabling employees to input and validate data efficiently once.
Once the relevant patient data was provided via form, it was automatically synchronized across all of IHA’s systems, including Health Sherpa and One Link.

Process 2: Real-Time Insurance Policy Updates
Health Sherpa’s lack of real-time updates meant that IHA employees had to manually refresh policies daily to catch any changes, such as canceled or terminated policies or upcoming deadlines.
We solved this by building a bot that refreshes policy data every morning, ensuring critical updates are reflected in the system automatically, saving time, taking relevant actions regarding canceled/terminated policies, and meeting all the deadlines.
Process 3: Automated Income Declaration Generation, Verification and Signing
A key component of IHA's process involved generating and signing client income declarations.
After the relevant patient data was entered via the form described in Process 1, the bot was automatically triggered and set to perform the entire income verification process.
The bot generated an income declaration, which was then uploaded to a Google Drive folder. From there, a second bot retrieved the document, signed it using the SignNow app and uploaded it to the patient’s profile in Health Sherpa.
Outcome:
Our collaboration with IHA resulted in the successful implementation of Robotic Process Automation (RPA) bots that transformed the company’s operations. By automating critical workflows within Health Sherpa, we added significant flexibility to the software and alleviated the burden of repetitive tasks on IHA employees.
As a result, employees now have more time to focus on meaningful work, including providing exceptional customer service.
